What is a content workflow?

A content workflow is the repeatable process a piece of content moves through from idea to publication, typically ideation, briefing, drafting, editing, approval, publishing and promotion, along with who or what is responsible for each stage. A defined workflow makes publishing consistent and predictable instead of dependent on individual effort and memory.

Why it matters

Content that depends on inspiration and spare time stops the first busy month. A workflow makes publishing a process rather than an event: each piece moves through the same stages, responsibility at each stage is clear, and the state of everything in progress is visible. That is what makes consistency survivable for a small team, and it is also what makes parts of the process automatable.

A typical workflow

  • Ideation: candidate topics gathered and prioritised.

  • Brief: the chosen idea specified properly before writing.

  • Draft: the piece written to the brief, in the brand’s voice.

  • Review: editing and quality checks, with approval where needed.

  • Publish: the article released to the website, with imagery and metadata.

  • Promote: supporting social posts and distribution.
